The Administrative Assistant will provide administrative, secretarial and clerical support to others in the office.

  • Perform job task analysis to develop and update job descriptions and job specifications
  • Prepare recruitment materials and post jobs to appropriate job boards, social media, and other mechanisms
  • Source, screen, and recruit applicants and conduct interviews using various reliable recruiting and selection tools/methods to filter candidates
  • Handle human resources administrative functions as needed
  • Responsible for sorting and distributing incoming mail and for preparing packages/letters to be Fed Ex or UPS for all departments.
  • Maintain the switchboard, answers incoming calls and connects to appropriate person/departments, routes messages appropriately
  • Answers the front door call bell and greets all guests
  • Responsible for ordering and maintaining office/breakroom supplies
  • Assist Human Resource, Purchasing and other office personnel with filing, creating files and labels when needed
  • Assist with site travel arrangements
  • Input COGZ maintenance data.
  • Responsible for working in a safe manner and following the company’s safety policies and procedures
  • Performs other related duties as assigned

Basic Qualifications:

  • 2 plus years as recruiter and/or office assistant
  • Highly organized, detailed oriented, and ability to multi-task in a busy environment
  • Strong communication skills, including written, verbal, and interpersonal
  • Read/Write in English

Preferred Qualifications:

  • Experience in a manufacturing/light industrial environment
  • Bilingual English/Spanish

Education and Experience:

  • High School Diploma or GED
  • Basic knowledge of Federal, State, and Local employment laws
  • Strong working knowledge and proficiency in Microsoft Word, PowerPoint, Microsoft Excel, and Microsoft Outlook


Physical Requirements:

  • Use standard office equipment such as computers, telephones, photocopiers, filing cabinets, scanners, and fax machines
  • Occasional short-term exposure to warm, hot, cool, or cold conditions in a manufacturing environment
  • Occasional short-term exposure to fumes or airborne particles and loud noise in a manufacturing environment
  • Filing and administrative office work is required
  • Lift files, open filing cabinets, and bend or stand as necessary
  • Learn new software applications as necessary
  • Lift up to 20 pounds
